Durham University takes responsibility for the lawful, fair and transparent use of the data you submit to us through online registration processes. When you book on, or register your interest in an event, we will collect personal data such as your full name, telephone number, postal address, email address, place of study/work, and job title or path of study. We will collect this via an online registration process.
We will use this information for the purposes of event management, including to confirm your place on the event, to issue event communications, and to request feedback. We may also use data for internal statistical analysis to allow us to better understand interest in our programme and further develop our events.
Photographs and audio or video recording of speakers and participants may be taken during the event. They may be reproduced in various media including the Common Awards website and social networks, or used for future promotional activities. However, a photograph portraying a particular individual may be published only with the explicit consent of that individual. Delegates will be asked if they would like to opt-in to being filmed or photographed during the registration process.
A detailed contact list of delegates (including name, place of work or study, Twitter handle, email address) may be distributed to all participants on the date of the event with a view to facilitating future contacts. Your details will only be included if you give your explicit consent by choosing to opt-in to this during the registration process.
Participants at events may be given the opportunity to indicate individual requirements, e.g. those pertaining to diet or mobility. This information will be processed only to ensure that these requirements are taken into account and will not be used or stored beyond that single event.
All the personal data we handle is processed by Durham University staff, and held securely in accordance with the University’s Data Protection Policy.
Your personal data will be held separately to any other records the University holds about you. For example, if you have a student record, the event booking information will not be stored as part of that record. Any information collected when you pay for an event will be processed securely by our Finance Division.
We do not share or sell your information to other organisations.
The University keeps personal data for as long as it is needed for the purpose for which it was originally collected. Specific time periods are set out in the University Records Retention Schedule.
