Students should be registered on Moodle after they have been formally admitted on to a Common Awards programme, in line with the TEI’s Admissions Policy. Once students’ details have been added to Moodle, TEIs are required to generate reports direct from Moodle to share this data securely with Durham for upload to the University’s student records system. See our Common Awards Calendar for the deadline to submit this information to Durham.
To create student records in the University’s student records system (known as Banner), TEIs must provide programme registration data in a specific format. This will be automatically formatted correctly in Moodle; however, there are important requirements that TEIs must adhere to when creating records in Moodle:

Formatting Notes
Character Limit
First Name
This must be the student’s full legal name as it appears on legal documentation (such as their passport or driving licence).
This information will be used on academic transcripts and parchments so it must be their full legal name.

The University does not require data for students who are taking a Common Awards ‘taster module’. See our Taster Module page for more information.
If a student is simply transferring from another TEI, the student will already have a record in the University student records system and therefore require a change of registration, rather than a new record. Some transfers require approval in advance through the concessions process. See our Concessions and Submitting Changes to Student Records pages for more information, and details on how to transfer student records between Moodle sites.
Some students may go on to further study with the same TEI, or at an alternative TEI. In some cases, students may require a new student record. If students go on to study within the same ‘qualification group’, students will need to return their degree documentation (academic transcript and parchment) before resuming their studies. See our Submitting Changes to Student Records page for information on when a new record should be created and our ‘qualification groups’.
The ‘Initial Registration’ report from Moodle should be shared with the Common Awards Team.
Once the student records have been created in Banner, each student is issued with a ‘Banner ID’ (student ID). The Banner IDs are shared with TEIs on the original Moodle download; this can be uploaded to Moodle and each student record in Moodle is updated with the student’s Banner ID. See our Common Awards Calendar for details on when TEIs will receive this information.
Please note that TEIs are required to undertake verification checks in Moodle to confirm the accuracy of the data before submitting this to Durham. See the Moodle Marks Processing System guide, available on the Common Awards Hub, for detailed instructions on how to add this data to Moodle, how to undertake the data checks, and how to download the reports for Durham.
